Additional Resources Limited is committed to protecting the privacy of our candidates, clients and users of our website. We want to provide a safe and secure user experience. We will ensure the information you submit to us, or which we collect, via various sources including our website, through written correspondance (including email), conversations, meetings with our consultants, is only used for the purposes set out in this policy .

Through the Privacy Policy we aim to inform you about the types of personal data we collect from candidates and clients, the purposes for which we use the data and the ways in which the data is handled. Our position as a recruitment agency means Clients give us control of their data so that we can provide recruitment services to them.

This Privacy Policy explains what we do with client personal data, whether we are providing you with a service or continuing our relationship with you.
It describes how we collect, use and process your personal data, and how in doing so we meet our legal obligations. Your privacy is important to us and we are committed to protecting this data and providing a safe and secure user experience.
We are open about its use and we will always make you aware of the information we are sharing.

What personal information do we collect?

Client Data

The data we collect about Clients is actually very limited. We generally only need to have your contact details or the details of individual contacts at your organisation (such as their names, telephone numbers and email addresses) this helps us to continue a relationship with you and provide the following services to you, find candidates for vacant roles, provide you with a managed service.

Supplier Data

We need to collect a small amount of information from our Suppliers, we simply need to make sure that our relationship runs smoothly. We'll collect the company details and details for our contacts within your organisation, such as names, telephone numbers, and email addresses. We'll also collect bank details, so that we can pay you. We may also hold extra information that someone in your organisation has chosen to tell us.

How do we use your personal data?

Client Data

The main reason for using information about Clients is to ensure we can provide you with our services and meet contractual agreements between us. We would keep records of our conversations, meetings and telephone calls, so that we can provide targeted services to you. We would also contact you to offer our recruitment services when you have vacant roles within your organisation.

Supplier Data

The reasons for using your personal data are to ensure the contractual arrangements between us can be met and to comply with legal requirements. We store (and update when necessary) your details on our database, so that we can contact you in relation to our agreements and to offer services to you or obtain support and services from you.
In more unusual circumstances, to help us to establish, exercise or defend legal claims.

We will share your data within our organisation to ensure we provide you with the right candidates for your vacant roles.
We may share your information with third party service providers who perform functions on our behalf (including external consultants, business associates and professional advisers such as lawyers, auditors and accountants, technical support functions and IT consultants carrying out testing and development work on our business technology systems);

How do we safeguard your personal data?

We are committed to taking all reasonable and appropriate steps to protect the personal information that we hold from misuse, loss, or unauthorised access. We do this by having in place a range of appropriate technical and organisational measures. These include measures to deal with any suspected data breach.

What is our justification for handling your personal information?

Client Data

 To ensure that we provide you with the best service possible, we store your personal data and/or the personal data of individual contacts at your organisation as well as keeping records of our conversations, meetings, registered jobs and placements. We think this is reasonable – we deem these uses of your data to be necessary for our legitimate interests as an organisation providing various recruitment services to you.
 
Supplier Data

We use and store the personal data of individuals within your organisation in order to facilitate the receipt of services from you as one of our Suppliers. We also hold your financial details, so that we can pay you for your services. We deem all such activities to be necessary within the range of our legitimate interests as a recipient of your services.

How long do we keep your personal data for?

We will keep your information on our systems for as long as we have meaningful contact with you, we are providing you with a service or you are providing us with a service. If we do not have  “meaningful contact”, we mean, for example, communication between us (either verbal or written), or where you are actively engaging with our services we will remove your information from our systems. 

How can you access, amend or take back your personal data?

Right to access

You have the right at any time to ask us for a copy of the information supplied by you that we hold. We may ask you to verify your identity and for more information about your request. If we provide you with access to the information we hold about you, we will not charge you for this unless your request is “manifestly unfounded or excessive”.
Where we are legally permitted to do so, we may refuse your request and will give you reasons for doing so.

Right to be erased

In certain circumstances, you have the right to request that personal information we hold about you is erased e.g. if the information is no longer necessary for the purposes for which it was collected or processed or our processing of the information is based on your consent and there are no other legal grounds on which we may process the information.

However, if this involves a request for deletion of your file, please be aware that we may not be required or able to do so, however we will attempt wherever possible to minimise data that is unnecessary and keep only what we must.
